How do I build an FF&E schedule in MONA?
Open a project, click the Schedule tab, then Add item. Add rooms, then products from a URL, your Library, the Clipper or by hand. Filter, switch to Financial for pricing, share and export.
Quick answer: open the project and click the Schedule tab. Click Add item to add rooms and sections, then add products from a vendor URL, your Library, the MONA Clipper, or by hand. Every line carries room, vendor, quantity, dimensions, lead time, pricing and status. Switch to Financial for cost and markup, click Share to send a client link with approvals, and use Export or print for Excel or PDF.
MONA is the agentic operating system for interior design studios, and the FF&E schedule (some studios call it a spec sheet or product schedule) is the spine of each project. Proposals, invoices, purchase orders and the client link all read from the same lines.
How do I set up rooms and sections?
- Open the project and click the Schedule tab. The page is titled FF&E schedule.
- Click Add item, then Add room. Type a name such as Primary Bath, Kitchen or Mudroom and click Add room. The room shows right away, empty, so you can file lines into it.
- For groupings that are not rooms, such as Level 2 or Phase 1, click Add item, then Add section.
- To rename or remove a room, use the rename and remove buttons on its heading.
How do I add products to the schedule?
Click Add item and pick a path:
- Add from URL: paste a vendor product page. MONA fetches the image, title and details. Optionally set a Category, then click Add to schedule. See Can MONA pull product images, specs, and prices from vendor websites?.
- Product from library: search your saved products, tick one or more, and click Add to schedule.
- Add manually: type an Item name, Quantity, Item code, Brand, Lead time, RRP and Cost for custom millwork, paint, tile or anything without a product page.
- Add service: put a catalog service, such as installation or design hours, on the schedule. See How do I add design services and fees in MONA?.
- From web clipper: opens the Chrome Web Store so you can install the MONA Clipper and clip products onto this schedule from any site. See How do I use the MONA Clipper?.
Each room heading also has its own add button, so a line lands straight in that room.
You can start from the Library instead: on a product’s page click Add to schedule (or Add to schedule… on a product card’s menu), pick the project, choose a Room or type a new one, set the Quantity, and click Add to schedule. Leave the room blank to add it unassigned. More in How do I find and save products in the MONA product library?.
How do I import an FF&E spreadsheet?
- Open a MONA chat and attach your .xlsx or .csv file (up to 15 MB).
- Ask: "Import this spreadsheet into the schedule for [project name]."
- Open the project’s Schedule tab to review the new lines.
Up to 1,000 rows import in one go. Photos are fetched from product links for the first 60 lines of each import, so split a longer list into smaller files if every line needs its photo. Moving from another tool? See Switch from Houzz Pro, Switch from DesignFiles and Switch from Studio Designer.
How do I edit and organize lines?
- Edit in place. Click a cell to change it: room, category, vendor, quantity, dimensions, availability, price or status.
- Line menu. The three-dot menu on a line offers Duplicate, Copy to room, Move to room, Save to Library (for hand-typed lines), Update pricing from catalog, Archive line item and Delete line item.
- Bulk actions. Tick several lines and a bar appears with Set status, Move to section, Copy to room, Move to room, Duplicate, Group, Add to proposal, Add to invoice, Request quote, Archive and Delete. Request quote creates draft quote requests, one per vendor, that you preview and send from Procurement.
- Group lines. Under Add item, Group lines bundles lines so your client sees one price. Purchase orders and margin keep every line separate.
- Construction order. Under Add item, Construction order sorts lines by build order, with labor under its material.
- Archive. Archived lines leave the schedule and every total. An Archived button with a count appears at the top when you have any, and Back to schedule returns you.
What do the statuses mean?
Each line moves through four phases:
- Curation: Draft, Hidden, Quoting, Selected, Internal Review
- Client approvals: Client review, Approved, Rejected, Re-Submit, Closed
- Procurement: Ordered, In Production, In Transit, Delivered, Installed
- Payment: Invoiced, Payment Due, Paid
Rejected and closed lines are hidden and left out of every total. A Rejected & closed button with a count shows them again.
How do I filter, group and change the view?
The toolbar above the schedule has:
- Search this schedule, matching across the lines.
- Filters for Room, Category, Vendor, Stage and Status, plus a line type filter once the job has both products and services. Click Clear all to reset. The filter button switches between one row of dropdowns and chips.
- A grouping dropdown: Rooms, Sections, Categories, Category › Room, Room › Category, Vendors, or Line type. When grouped by sections, Rooms in sections adds room subtotals inside each section.
- A display dropdown: Compact table, Full table, Cards (large photos) or Tiles.
- Columns: show, hide or move any column. Only your own view changes, and Reset column layout puts the defaults back.
- Summary and Financial switch at the end.
Summary and Financial share one grouping, order and set of filters, so switching tabs keeps your place. Each tab keeps its own column layout, saved per person.
Studio owners and admins can also save a filter and grouping setup for the whole studio: click Views, name it (for example, Plumbing package) and click Save view. Anyone on the team can apply it from the same menu.
How does the Financial tab work?
Financial shows the money on every line: RRP, Cost, Disc %, Markup %, Markup $, Tax %, Tax paid, Freight, Client price (each), Savings %, Line total and Net profit. Set a schedule-wide Default markup at the top; a markup set on the line or on its vendor, or a typed client price, overrides it. On Summary you can add money columns, including an editable Cost, through Columns.
The Financial switch and money columns appear only for people whose role can see project financials, so a team member without that access never sees cost or margin. Full detail on markup and discounts is in How do I set my markup and trade discounts in MONA?.
How do I share the schedule and collect approvals?
- Click Share. Under Client link, choose Anyone with the link and click Copy link. No MONA account is needed on the other end.
- Set the switches: Show supplier, Show brand, Show pricing, Show details, Can approve, Show product URL. Supplier and brand start off; the rest start on. Hidden fields are never sent to the page, and your cost, markup and profit never are.
- Set the lines you want decided to Client review. With Can approve on, your client sees Approve and Decline on those lines and can leave a Comment on any line.
- For a builder or contractor, go to Other links, click Add link, keep the name Builder, click Create, and switch Show pricing off for that link. You can add up to 10 named links, each with its own switches.
Your client can view the schedule by room, by section, or by category, and download it as Excel. More on approvals across MONA in Can my clients review and approve designs directly?.
How do I export or print the schedule?
Click Export or print and pick:
- Printable PDF: branded, for contractors, the current view, no prices.
- Printable PDF with prices: branded, the current view, with client prices.
- Excel: one sheet, every line.
- Excel by trade: a tab per category, rooms inside. Shown once a line has a category.
- Excel by room: a tab per room, categories inside.
The PDFs print what you are looking at, so filter first if you only want, say, the plumbing lines.
Can MONA build the schedule for me?
Yes. Use the Ask Mona about this schedule bar at the bottom of the page, or any chat, to source alternatives, add products to rooms, update lines, import a spreadsheet, or draft purchase orders. See How do I use the MONA AI agent?.

Frequently asked questions
What is an FF&E schedule in MONA?
It is the project’s product schedule, sometimes called a spec sheet or product schedule: every piece of furniture, fixture, finish and service on the job, filed by room, with vendor, quantity, dimensions, lead time, pricing and status on each line. Proposals, invoices, purchase orders and the client link all read from it.
Can I import my existing FF&E spreadsheet?
Yes. Attach the .xlsx or .csv file in a MONA chat and ask MONA to import it into the project’s schedule. Files up to 15 MB and 1,000 rows import in one go, and photos are pulled from product links for the first 60 lines of each import.
How do I add a product from my Library to a schedule?
On the schedule, click Add item, then Product from library, tick the products and click Add to schedule. From a product’s own page, click Add to schedule, pick the project, then a room and quantity.
Can my client approve items on the schedule?
Yes. Share the schedule with Can approve switched on and set the lines to Client review. Your client sees Approve and Decline on each of those lines, can comment, and needs no MONA account.
Can I share the schedule with my contractor without prices?
Yes. In Share, under Other links, add a link named Builder and switch Show pricing off for it. Each link has its own settings, so your client keeps prices on their link. For a document, use Export or print, then Printable PDF, which leaves prices off.
How do I export an FF&E schedule to Excel or PDF?
Click Export or print. Choose Excel for one sheet with every line, Excel by room for a tab per room, Excel by trade for a tab per category, Printable PDF for a branded copy without prices, or Printable PDF with prices.
Where do I see cost, markup and profit?
Switch the schedule from Summary to Financial. It shows RRP, Cost, Disc %, Markup %, Markup $, Tax %, Freight, Client price (each), Line total and Net profit. The Financial switch appears only for people whose role can see project financials.
Can I hide columns I do not use?
Yes. Click Columns in the toolbar to show, hide or move columns. Summary and Financial each keep their own layout, it is saved per person, and Reset column layout puts the defaults back.
