How do I set my markup and trade discounts in MONA?

Pick your Default client price in Settings > Finance, put each vendor’s Discount and Markup on its trade account in Contacts, and set Default markup or per-line markup on a schedule.

Quick answer: MONA prices every schedule line as cost plus markup, unless a client price is typed or your studio quotes the vendor’s MSRP or MAP. Choose that studio rule in Settings, then Finance, under Default client price. Put each vendor’s negotiated Discount and your Markup for them on their trade account in Contacts. Set a Default markup for a whole schedule in its Financial view, and override any single line there.

How does MONA work out a client price?

Every line on an FF&E schedule (or spec sheet) runs through the same steps, and proposals and invoices use the result.

Your cost is the Cost you typed. If that is blank, it is the list price (RRP) less the line’s Disc %.

The client price is the first of these that applies:

  1. A Client price (each) typed on the line.
  2. Cost plus a dollar Markup $ per unit.
  3. Cost plus Markup %. If the line has no markup of its own, it uses the schedule’s Default markup.

Line total is the client price times the quantity, plus billed freight, and Net profit is that total less your cost and freight cost, before tax. Savings % compares the client price with list: green under, red over.

Who can see pricing?

Cost, markup, trade discount and margin are internal. The Financial view and a product’s internal pricing fields appear only for people whose role can see project money (see Custom roles and permissions). Anyone can open Settings, then Finance; by default only owners and admins can change it.

How do I choose the studio’s default client price?

  1. Go to Settings, then Finance, and find Default client price.
  2. Pick one:
    • MSRP: the manufacturer’s suggested retail price, or the MAP when the vendor lists no MSRP. This is the default.
    • MAP: the minimum advertised price, or the MSRP when the vendor lists no MAP.
    • Cost plus markup: ignore MSRP and MAP and price from your cost and markup.
  3. Optionally turn on Show “Retail value / You save” on new proposals and invoices so clients see what they save against retail.

This only shapes new product lines that have no client price or markup of their own. Existing lines never change.

If you price everything as cost plus markup, choose Cost plus markup. With MSRP or MAP selected, a new line that carries one of those prices quotes it as a typed client price, and a typed client price wins over the schedule’s Default markup.

How do I save a vendor’s trade discount and markup?

Record terms once on the vendor and MONA fills them into new lines.

  1. Click Contacts in the sidebar and open the vendor’s company.
  2. In the Trade account card, enter Discount and Markup as percents. Add Account #, Freight, Lead time and Minimum order if you have them.
  3. Click Save company.

MONA matches a new line to the vendor by its supplier, vendor, or the product’s retailer or brand. A blank Disc % takes the vendor’s discount, and a line with no markup takes the vendor’s markup, which overrides the schedule default for that line. Values already on the line or carried in from the product win. Leave a box empty when there is no agreed term; empty is not 0%. People under a company show the firm’s terms read-only.

How do I set markup on a schedule and override one line?

  1. Open the project, go to its Schedule tab, and switch from Summary to Financial.
  2. Type a percent into Default markup above the grid. Every line without its own markup uses it. Clear the box to inherit again.
  3. To change one line, type into its Markup %, Markup $, or Client price (each). Typing in one markup box clears the other. Dimmed numbers are inherited; typed numbers belong to the line.
  4. RRP, Cost and Disc % change the list price, cost, or discount for that line only, not the product.

If a line is on a sent or approved proposal, a price edit asks whether to Unlock to revise the proposal or Change the schedule only. Cost and freight cost stay editable without unlocking.

How do I set pricing on a product?

  1. Open the product in Library, Products, and click Edit product (all projects).
  2. In Pricing, fill Retail, MSRP, MAP, Trade discount, Cost and Markup. The Markup mode switch flips markup between % and $ per unit.
  3. Client price follows cost and markup automatically. Type over it to set it by hand, or click Use auto to go back.
  4. Add Tax, Freight cost and Freight billed if they apply, then click Save.

New schedule lines from this product start with these values. Editing the product later never changes existing lines. When a line’s price differs from the product, a small dot appears next to it. Click it to Reset to catalog or Update all from catalog. After you edit a line’s price, MONA may ask Update the product catalog too? and lists other projects that use the product. Their lines do not change either way.

What does the client see?

  • Proposals, invoices and the client portal show the client price, quantity and totals, never your cost, markup, discount, freight cost or the tax you paid.
  • Shared schedule links show pricing when Show pricing is on, which it is by default. Clients see list price, their price, line total, savings and billed freight.
  • Brand and vendor stay hidden unless you turn on Show brand and vendor to clients in Settings, then Finance, under What clients see. Generic product names on proposals shows "Nightstand" instead of the product’s real name.

What is Settings, Trade profile?

Settings, then Trade profile, stores what suppliers ask for on a trade-account application, including your federal tax ID (stored encrypted) and resale certificate. On a vendor’s contact, Draft trade application fills the application and writes the covering email. You send it yourself, then mark it I sent it, Approved or Declined. MONA never submits or signs anything for you.

What it does not do (yet)

  • Vendor terms do not re-price existing lines. A vendor’s discount and markup fill new lines when they are added.
  • Schedule markup is a percent. Dollar markup is set per line or per product.

Frequently asked questions

Where do I set my default markup in MONA?

Three places: a vendor’s Markup on its trade account in Contacts, a schedule’s Default markup in the Financial view, and each line’s own Markup % or Markup $. Settings, Finance, Default client price decides whether new lines quote MSRP, MAP, or cost plus markup.

Why is my new line priced at MSRP instead of cost plus my markup?

Default client price in Settings, Finance is set to MSRP, which is the default. A new line with an MSRP or MAP and no markup of its own quotes that price, and a typed client price wins over the schedule’s Default markup. Switch the setting to Cost plus markup, or type a markup on the line.

How do I record a trade discount from a vendor?

Open the vendor’s company in Contacts and enter Discount in its Trade account card, then click Save company. New lines from that vendor fill Disc % with it, and MONA takes it off the list price to work out your cost when you have not typed a cost.

Can clients see my cost or markup?

No. Proposals, invoices, the client portal and shared schedule links show the client price. Cost, markup, trade discount, freight cost and the tax you paid never appear on anything client-facing. Brand and vendor stay hidden too unless you turn on Show brand and vendor to clients in Settings, Finance.

Can I mark up by a dollar amount instead of a percent?

Yes. On a schedule line, type into Markup $ instead of Markup %. On a product, flip Markup mode from % to $ while editing. A line or product uses one or the other, never both, and a dollar markup is per unit.

If I change a product’s price, do my schedules update?

No. A new line copies the product’s pricing when it is added, and later product edits never move existing lines. A line that differs from the product shows a small dot; click it to see the differences and use Reset to catalog or Update all from catalog.

What is Settings, Trade profile for?

It stores your firm’s details for vendor trade-account applications, such as tax ID and resale certificate. On a vendor’s contact, Draft trade application fills the application and drafts the email. You review and send it yourself.

Can I change a price after the client has the proposal?

Yes, with a choice. Editing a price on a line that is on a sent or approved proposal asks whether to Unlock to revise, which puts the proposal back to a draft as the next version, or Change the schedule only, which leaves the client’s price as it is. Cost and freight cost stay editable either way.
