How do I record meetings and get notes in MONA?
Connect your calendar and MONA Notetaker joins your Zoom, Google Meet, and Teams calls. For in-person meetings, open Meetings and click Record. You get a transcript and a structured note.
Quick answer: Open Meetings in the left menu. For Zoom, Google Meet, and Microsoft Teams calls, connect your Google or Outlook calendar and MONA Notetaker joins each call with a video link. For an in-person meeting or site walk, click Record, then Record in person, on your computer or phone. Either way, MONA writes a transcript and a structured note with decisions, products, budget numbers, and suggested tasks, and files it to the project.
How do I get MONA to join my video calls?
- Open Meetings in the left menu.
- If your calendar is not connected, click Connect calendar and connect Google or Outlook.
- In the Meeting Bot section on the same page, make sure Auto-join calls is on. It is on by default.
- The Today list shows your upcoming calls. Each one with a video link shows MONA will join. Click Skip on any call you do not want recorded, or Undo to change your mind.
- When the call starts, the notetaker asks to join as MONA Notetaker with your studio name. Admit it if your meeting has a waiting room.
While it is in the call, the meeting page says MONA's notetaker is in the call, recording. Click Make the bot leave to send it away early. The note is written when the call ends.
Two other ways to send it:
- From a chat. Paste a meeting link into a chat with MONA and ask it to join.
- By invite. Add notetaker@monaverse.com as a guest on the calendar event.
Each call in the Today list also has a Prep brief button, so you can get ready before the call starts.
How do I record an in-person meeting?
- On the Meetings page, click Record.
- In Record a meeting, pick a Meeting type (Kickoff, Sourcing, Presentation, Site visit, Wrap up, or Other). Optionally choose a Project, a Client, and a Title. Leave the title blank and MONA names it for you.
- Tick the box confirming everyone in the meeting knows it is being recorded. Some states require all parties to consent.
- Click Record in person. It uses your microphone only.
While you record, the screen has three tabs: Transcript (live), My notes for your own notes, and Ask MONA. Use Pause, Flag this moment to mark something important, and Let the room know to copy a short message telling people MONA is taking notes. A small Recording pill follows you if you open other pages. Click Stop & write note when you are done.
On a phone: open monaverse.com in your phone's browser, go to Meetings from the menu, and follow the same steps. It is handy for site walks.
Recording a call from your browser: on a desktop in Chrome or Edge, Record call shares a browser tab so both sides of the conversation are captured. Use it for a call app the notetaker does not join.
Already have a recording? Click Upload on the Meetings page and choose an audio or video file (MP3, M4A, WAV, OGG, MP4, or WebM).
What do I get after the meeting?
MONA transcribes the recording and writes the note, usually in about a minute per 30 minutes of audio. The meeting page updates on its own.
- Note: sections for Summary, Decisions, Room-by-Room Notes, Products & Materials, Budget & Timeline, Client Preferences, and Open Questions. Add your own notes alongside it.
- Transcript: every line with a speaker and a Play from here button. Rename speakers so the transcript shows real names.
- Suggestions: action items, products, decisions, preferences, budget items, and open questions pulled from the conversation. Accept or reject each one. An accepted action item becomes a task, and an accepted product goes into your Library.
- Visual moments: when someone shares their screen during the call, MONA saves stills of what was shown. Click one to see it larger, then Play from here to hear what was said at that moment.
How do I ask MONA about a meeting?
Open the meeting and use the Ask MONA panel on the meeting page. MONA already knows the summary, the action items, who was there, and the project, so ask for the deliverable directly: "draft the follow-up email", "make the tasks", or "update the schedule with the tile they picked." Click Open full chat to keep going on the full chat page.
You can also ask from any chat, like "what did the Chens decide about the dining chairs last week?" MONA searches your meetings to answer.
Do meetings cost credits?
Recording, transcription, and the meeting note do not use credits, and Meetings is available on every plan. Asking MONA questions about a meeting, or asking it to make things from one, uses credits like any chat.
