How do I connect Microsoft Outlook to MONA?

Go to Settings, then Integrations, and click Connect Outlook. Sign in with Microsoft and choose who on your team can use the inbox. Shared mailboxes like info@ connect through your own login.

Quick answer: Go to Settings, then Integrations on monaverse.com, click Connect Outlook, sign in with your Microsoft 365 or Outlook.com account, and choose who on your team can use the inbox. That is the whole setup, about two minutes. A studio shared mailbox (info@, admin@, orders@) has no password of its own, so you connect it with Connect a shared mailbox and your own login.

Once connected, the MONA agent can read and search your mail and attachments, draft replies for you to send, categorize and file messages, and read your Outlook calendar. MONA never sends email on your behalf and never asks Microsoft for permission to.

How do I connect my own Outlook account to MONA?

  1. Open Integrations. Click your profile photo in the top right corner of monaverse.com, choose Team settings, then Integrations. You can also go directly to monaverse.com/settings/integrations.
  2. Click Connect Outlook under the Outlook card.
  3. Sign in with Microsoft. Use the Microsoft 365 or Outlook.com account you use for email. If you are already signed in to Microsoft in this browser, pick the account you want to connect.
  4. Accept the permissions. Microsoft lists what MONA can do: read mail, read and write drafts, read calendar. Click Accept. If Microsoft says your organization needs an admin to approve new apps, see the admin approval question below.
  5. Choose who can use this inbox. You land back on the Integrations page and MONA asks "Who can use this inbox?" Pick one:
    • Shared with studio. Teammates can ask MONA to read this inbox, and it feeds the studio brain. Choose this for a mailbox the whole team works out of.
    • Studio memory only. Email summaries feed the studio brain, but only you can read the inbox live. This is the default.
    • Private to me. Nothing from this inbox is shared with the studio.
  6. Done. The Outlook card shows your email address with a green connected badge.

How do I connect a shared mailbox (info@, admin@, orders@) to MONA?

A Microsoft 365 shared mailbox has no password of its own, so it cannot sign in anywhere directly. MONA connects it through a person who already has access to it. If the shared mailbox shows up in your Outlook, you have that access. No license change and no new password are needed.

  1. Open Integrations at monaverse.com/settings/integrations.
  2. Click Connect a shared mailbox on the Outlook card. It sits next to the Connect button, or next to Connect another account if your own mailbox is already connected.
  3. Enter the shared mailbox address, for example admin@yourstudio.com, and click Continue to Microsoft sign-in.
  4. Sign in with your own Microsoft account, the same one you use to open the shared mailbox in Outlook. Do not try to sign in as the shared address.
  5. Accept the permissions. Microsoft lists a few extra permissions for shared mailboxes (read shared mail, read and write shared drafts, read shared calendars). Click Accept.
  6. Choose Shared with studio so everyone on the team can ask MONA about the inbox.
  7. Done. The shared address appears on the Outlook card with a shared mailbox tag, alongside your own account.

If you see "Your Microsoft account cannot open that shared mailbox," either the address has a typo or your account does not have Full Access to that mailbox. Ask your Microsoft 365 admin to grant you Full Access in the Exchange admin center (Recipients, then Mailboxes, then the shared mailbox, then Delegation), then try again. Nothing is saved until the connection succeeds.

What can MONA do with Outlook once it is connected?

  • Read and search your mail, including PDF, Word, Excel, and image attachments
  • Draft replies and new emails for you to review and send (MONA never sends)
  • Categorize, move, archive, and mark messages read or unread
  • Show your Outlook calendar on Home and Meetings, and answer "what is on my calendar" (read-only)
  • Watch a shared inbox for order confirmations and tracking numbers when you set up an order-tracking agent

What should I ask MONA first?

Open the MONA agent chat and try:

  • "What is my most recent email?"
  • "Search admin@ for order confirmations from this week."
  • "Draft a reply to [name] confirming the delivery date."
  • "What is on my calendar tomorrow?"

If you have more than one mailbox connected, name the one you mean, for example "in the admin@ inbox." MONA asks when it is not sure.

Why does Microsoft say MONA needs admin approval?

Some Microsoft 365 tenants require an administrator to approve any new app before staff can connect it. Your Microsoft 365 admin approves MONA once from the Microsoft Entra admin center under Enterprise applications, then Admin consent requests. After that, everyone on the tenant can connect without seeing the prompt again.

How do I connect another account or disconnect?

You can connect as many Outlook accounts and shared mailboxes as you like. Each one has its own row on the Outlook card with its own visibility setting, a Reconnect button if Microsoft ever expires the access, and a Disconnect button. Your access tokens are encrypted and never leave our servers.
