How do I connect JobTread to MONA?

Create a grant key in JobTread (a long code starting with 22), paste it on the JobTread card in Settings, Integrations, then link each project to a job. Client approvals land on the job budget.

Quick answer: A studio owner or admin creates a grant key in JobTread (Settings, Integrations, API, Grants, then a new grant; the key is a long code starting with 22), then pastes it on the JobTread card in MONA’s Settings, then Integrations and clicks Validate, then Connect. Link each MONA project to its JobTread job, and the selections your client approves in MONA land on that job’s budget as cost items.

This is for design-build firms and designers who work alongside a builder on JobTread. Your client approves finishes and furniture in MONA; your project manager sees them on the JobTread budget without anyone keying selections in twice.

Before you start

  • Who connects: a studio owner or admin. One connection covers the whole studio. Other teammates see the status and the message Not connected. Ask a studio owner or admin to connect JobTread.
  • Plans: any MONA plan can connect, link projects, and view send history. Sending to JobTread is included on the Studio plan and higher (Studio, Unlimited, Enterprise). On Free or Pro the send button reads Upgrade to Studio.
  • In JobTread: you need access to create an API grant for your organization.

How do I create a JobTread grant key?

  1. In JobTread, go to Settings, then Integrations, then API, then Grants.
  2. Create a new grant.
  3. Copy the key right away. JobTread shows it once. A real key is a long code that starts with 22, about 34 characters. If MONA says the key looks short, you probably copied only part of it.

How do I connect JobTread to MONA?

  1. Open Integrations. Click your profile photo in the top right, choose Team Settings, then Integrations, and scroll to the JobTread card.
  2. Click Connect JobTread.
  3. Paste the key into Grant key (click Show to check it) and click Validate. MONA checks it with JobTread before saving anything. The key is encrypted and never shown again.
  4. Confirm the organization. MONA shows which JobTread organization the key belongs to. Click Connect. You see JobTread connected.
  5. Set your defaults on the card:
    • Default cost code and Default cost type are applied to every new cost item MONA creates. If your project manager re-codes an item in JobTread later, MONA keeps their code.
    • Send client approvals to JobTread automatically sends a line the moment your client approves it, for projects linked to a job. Leave it off to send by hand.

The card then shows your Organization, a Connected tag, and Last sent.

  1. Open the project. Click the JobTread button in the Schedule tab’s title row, or in the Client approvals header on the Portal tab. Both open the same panel.
  2. Pick the job. Under Link a JobTread job, type in Search jobs by name or number and click the job whose budget should get this project’s approved items.
  3. You see Linked to JobTread. A green dot on the JobTread button shows the project is linked.

To change it, open the panel and click Unlink. Cost items already sent stay on the JobTread budget.

How do I send approved selections to JobTread?

  • Automatically: with Send client approvals to JobTread automatically on, each line goes over as soon as your client approves it on the client portal.
  • By hand: open the project’s JobTread panel and click Send approved to JobTread. Every client-approved line on the project is sent. Use this the first time you link a project, to catch up on earlier approvals.

The Send history list in the panel shows each line as Sent, Updated, or Failed, with the error for a failed one.

What lands on the JobTread budget?

Each approved FF&E schedule line (spec sheet line) becomes one cost item on the linked job:

  • Name: the line description, or the product title.
  • Description: vendor, brand, SKU, finish, color or material, dimensions, product link, the client’s approval note, and who approved it in MONA and when.
  • Quantity, your unit cost, and the client price, from the same pricing your schedule and client approval page use.
  • Job area: the line’s room.
  • Cost code and cost type: your defaults, on new items only.
  • Photo: the line image, on new items.

Re-sending a line updates the same cost item instead of adding a duplicate, and an unchanged line is skipped. If someone deleted the cost item in JobTread, the next send creates it again.

What happens if my client declines something after it was sent?

MONA never deletes anything in JobTread. If a client declines a line that was already sent, MONA leaves a note on the JobTread job, and the send history marks the item so your team can remove it from the budget by hand if they want.

Can I ask the MONA agent to do it?

Yes. In chat, try "Link the Hudson project to the Hudson Kitchen job in JobTread" or "Send the approved selections on Hudson to JobTread." The agent uses the same connection and plan rules as the buttons.

What it does not do (yet)

  • One way only. MONA sends to JobTread. Changes made in JobTread do not come back to MONA.
  • Approved selections only. Tasks, schedules, invoices, and unapproved lines are not sent.
  • Never deletes. Declines, unlinks, and disconnects leave cost items in JobTread.

What if JobTread stops accepting the key?

JobTread grant keys expire after 3 months without use. The card then says JobTread stopped accepting MONA’s grant key, so approvals are not being sent. An owner or admin clicks Reconnect and pastes a new grant key. To stop the connection on purpose, click Disconnect. MONA forgets the key, and cost items already on your budgets stay.

Frequently asked questions

Does MONA integrate with JobTread?

Yes. Paste a JobTread grant key in Settings, then Integrations, link a project to its JobTread job, and the selections your client approves in MONA land on that job’s budget as cost items. No retyping.

Where do I find my JobTread API key?

In JobTread, go to Settings, Integrations, API, Grants, and create a new grant. JobTread calls it a grant key. It is a long code that starts with 22, and JobTread shows it only once, so copy it straight into MONA.

What does MONA send to JobTread?

Each client-approved schedule line becomes a cost item on the linked job’s budget with its name, a description (vendor, brand, SKU, finish, dimensions, product link, the client’s approval note), quantity, your cost, the client price, the room as the job area, and the line photo.

Which MONA plan do I need for JobTread?

Any plan can connect JobTread, link projects, and see the send history. Sending items to JobTread, by hand or automatically, is included on Studio and higher plans. Below Studio, the send button reads Upgrade to Studio.

Will re-sending create duplicate cost items?

No. Re-sending updates the same cost item. If nothing changed, nothing is sent. If someone deleted the cost item in JobTread, MONA creates it again on the next send.

Does MONA ever delete anything in JobTread?

No. If a client declines an item after it was sent, MONA leaves a note on the JobTread job and does not delete the cost item. Unlinking a project or disconnecting JobTread also leaves every cost item where it is.

Why did JobTread stop accepting MONA’s grant key?

JobTread grant keys expire after 3 months without use. The JobTread card then shows a warning and a Reconnect button. Create a new grant key in JobTread and paste it in.

Who can connect JobTread?

A studio owner or admin. Everyone else sees the status and can ask an owner or admin to connect it. One connection covers the whole studio.
