How do I manage tasks and deadlines in MONA?

Open Tasks in the sidebar. Add tasks with a due date, priority, project, and assignee (a teammate or MONA), then work them in My Tasks, a board, a timeline, or the Calendar view.

Quick answer: click Tasks in the sidebar. Add a task with + Add task, give it a due date, a priority, a project, and an assignee (a teammate, yourself, or MONA), and work it from My Tasks, Today, Upcoming, a Board, a project Timeline, or the Calendar view. Comments and changes on tasks you follow land in the Tasks Inbox.

How is the Tasks page laid out?

The left rail of the Tasks page has:

ViewWhat it shows
InboxComments, @mentions, and changes on tasks you follow, with an unread count
My TasksEverything assigned to you, in your own sections
Today and UpcomingWhat is due now and next
TimelineTasks by date across projects
All tasksEvery task you can see
ProjectsOne entry per project with open tasks. Show all projects lists the rest
No projectTasks not filed to a project yet

My Tasks, Today, Upcoming, All tasks, and No project switch between List, Table, Board, and Calendar. Use the person chips, search, and Filter (for example, by Vendor / trade) to narrow any of them.

How do I add a task?

  1. Click + Add task.
  2. Type the Task name and, if useful, a Description.
  3. Set a Due date. Today, Tomorrow, and Next week are one click.
  4. Pick a priority, Priority 1 to Priority 4 (new tasks are Priority 4).
  5. Pick the project and the assignee.
  6. Optional: link Schedule items from the project’s FF&E schedule, click Attach for a file, or Link for a URL.
  7. Click Add task or press Enter. The composer stays open so you can keep going.

Click any task to open its pane. There you can Mark complete, set Dates (a Start date and a Due date), change Status (To do, In progress, Needs input, Done), add Subtasks, set Dependencies (Waiting on and Blocking), add Attachments & links, and comment. Type @ in a comment to mention a teammate. Copy task link shares it, and Delete task removes it.

How do My Tasks sections work?

My Tasks starts with four sections: Recently assigned, Do today, Do next week, and Do later. Do today and Do next week fill themselves by due date: anything due today or earlier, or within seven days. Drag a task to keep it somewhere else.

Each section’s menu has Rename section, Add section, Delete section (its tasks go to Recently assigned), and Auto-move tasks by due date on or off.

How do I use the task calendar?

  1. Click Calendar on the Tasks page, or pick Calendar in a project’s view switch (List, Board, Timeline, Calendar).
  2. Move between months with the arrows. A task with only a due date sits on that day. A task with a start and due date draws as one bar across the range.
  3. Drag a task to a new day to reschedule it. It keeps its length, and tasks that depend on it shift too.
  4. Hover a day and click + to add a task due then.
  5. Finished tasks are hidden. Click Show done to bring them back.

Overdue tasks are marked Overdue, and blocked ones show what they are waiting on.

Are there boards and timelines?

Yes. Click Board for a Kanban view. In My Tasks the columns are your sections, in a project they are the project’s sections (+ Add section adds one), and in Today, Upcoming, and All tasks they are status lanes.

Inside a project, Timeline is a Gantt-style view that you can zoom by Day, Week, or Month.

How do I assign a task to a teammate or to MONA?

Open the assignee picker on any task. It lists MONA, Me, your teammates, and Unassigned.

A teammate. They get a notification that links to their My Tasks, and an email if they are offline. Only the creator, the assignee, or an owner or admin can reassign or delete a task. Teammates can Join task as a collaborator to follow it.

MONA. Choose MONA (Does the task for you). The task moves to In progress and MONA starts a background chat on your behalf. Then:

  • MONA’s status shows as Queued, Working…, Needs your input, Done, or Failed.
  • When it finishes, MONA posts the result as a comment and notifies you.
  • If it needs an answer, reply with Answer MONA…. Run again retries.
  • MONA does not send emails or texts while working a task. It drafts them and asks you.
  • It uses your studio’s AI credits.

Good tasks for MONA: “Source three performance-fabric swivel chairs under $1,500 for the Henderson den,” “Draft the client update for Park Slope,” or “Pull lead times for every open line on the Chen schedule.” See How do I use the MONA AI agent?.

Can I manage tasks from chat?

Yes. In any MONA chat, ask “add a task for Sam to order the Henderson samples by Friday,” “what is on my plate this week,” or “mark the tile order done.” MONA creates, lists, updates, and deletes tasks, including subtasks, links, and schedule items. In team chat, a message’s More actions menu has Create a task from this.

What it does not do (yet)

  • No due-date reminders. Tasks due today move into Do today and show in Today, but no separate reminder is sent.
  • No recurring tasks. For work that should happen on a schedule, set up a recurring task for MONA instead: see How do I schedule recurring tasks for MONA?.
  • Tasks with no project stay personal to you until you file them to a project.

Frequently asked questions

Can I see tasks on a calendar?

Yes. On the Tasks page click Calendar, or pick Calendar inside a project. Tasks sit on their due date, a task with a start and due date draws as a bar across the days, and you can drag to reschedule.

Can I assign a task to MONA?

Yes. Pick MONA in the assignee picker. MONA works on it in the background, posts the result as a comment, and notifies you. It uses AI credits, and it drafts emails and texts for you to approve rather than sending them.

Does MONA have Kanban boards?

Yes. Click Board. In My Tasks the columns are your sections, in a project they are the project’s sections, and in Today, Upcoming, and All tasks they are To do, In progress, Needs input, and Done.

What is the Inbox on the Tasks page?

It is the feed of comments, @mentions, and changes on tasks you follow, not a list of tasks. Mark all read and Archive all clear it.

Will I get a reminder when a task is due?

Not today. Tasks due today move into Do today in My Tasks, and the Today view lists them, but MONA does not send a separate due-date reminder. You are notified when a task is assigned to you and when someone @mentions you on one.

Can a task belong to more than one project?

Yes. Use Add to project in the task pane. Each project keeps its own section for the task.

Can I make subtasks and dependencies?

Yes. Add subtasks under Subtasks in the task pane, and set Waiting on or Blocking under Dependencies. Dependencies need the task to be on a project.

Can I create tasks by asking MONA in chat?

Yes. Ask something like add a task for Sam to order the Henderson sofa samples by Friday, or what is on my plate this week. MONA can create, update, list, and complete tasks for you.

Who can see a task?

You see tasks you created, are assigned to, or follow, plus tasks on projects you can open. Owners and admins see every task in the studio. Tasks with no project stay personal.
